How it works

Four surfaces, one record of the truth

A rental business happens in four places at once. Loadout gives each of them the view it needs, over a single set of records — so the counter, the yard and the office never disagree about where a machine is.

01

The counter

Built for someone looking at a customer, not a screen

The front desk is a single field that takes a scanner, a typed asset tag or a booking reference and works out which one it got. From there the screen offers exactly one decision: hand it over, or take it back.

  • Scan-to-act: barcode wedge, QR label or typed reference
  • The queue of collections and returns due today, beside it
  • Flagged customers surfaced before the equipment moves
  • A command palette on ⌘K for everything else
02

The yard

The photographs that settle arguments later

Warehouse crew get a phone app rather than a login to the office system. Scan the unit, photograph it, score its condition, done. It queues everything when there is no signal and syncs when there is.

  • Scan a QR label to open the right unit instantly
  • Camera capture straight into the condition log
  • Condition scored 1–5, feeding the unit's history
  • Offline queue — a yard is not a place with good reception
03

The office

Which kit earns, and which quietly costs

Utilization measured against available time rather than calendar time, so a machine in the workshop is not counted as a bad earner. Damage cost tracked against lifetime revenue, which is how a money pit gets spotted before the third repair bill.

  • Utilization per unit, workshop downtime excluded
  • Return on asset against the purchase price you entered
  • Damage cost as a share of what the unit has earned
  • Revenue by category and by yard, exportable to CSV
04

The customer

A portal that shows them the same evidence you have

Your own branded storefront, on its own URL or your own domain. Customers see genuine availability, book against it, and afterwards see their deposit move from held to released — with the collection and return photographs alongside.

  • Real unit-level availability, not an enquiry form
  • Deposit status in plain language, as it changes
  • Their own copy of every condition photograph
  • Waitlist when everything is out, with automatic notification
